1. About These Terms

These Terms of Service (“Terms”) govern your use of SchoolGov AI, a platform operated by Maple & Moor Media Group Ltd (Company Number: 16059597), registered in England and Wales.

By creating an account or using SchoolGov AI, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy.

If you do not agree to these Terms, you must not use the platform.

2. Eligibility

• You must be at least 18 years old to use SchoolGov AI
• You must be acting in a professional governance capacity (e.g. school governor, trustee, clerk, school leader) or managing a school account
• School accounts must be registered by an authorised representative of the school or trust

3. Accounts & Registration

When you register, you agree to:

• Provide accurate and complete information
• Keep your login credentials secure and confidential
• Notify us promptly of any unauthorised access to your account
• Accept responsibility for all activity under your account

We reserve the right to suspend or terminate accounts that violate these Terms.

4. The Service

SchoolGov AI provides AI-powered tools designed to support school governors, including:

• AI Advisor (chat-based governance support)
• Document Analyser (summarise and question governance documents)
• Question Bank (generate evidence-seeking questions)
• Visit Report Builder (create structured monitoring visit reports)
• Meeting Prep Assistant (prepare for board meetings)
• Jargon Buster (explain governance terminology)
• Workspace tools (notes, to-do lists, contacts, visit log)

We may add, modify, or discontinue features at any time with reasonable notice.

5. AI-Generated Content

This is important:

• All AI-generated content is advisory only and is not a substitute for professional legal, educational, or governance advice
• AI outputs may contain errors, inaccuracies, or incomplete information
• You are solely responsible for reviewing, verifying, and deciding whether to act on any AI-generated content
• SchoolGov AI does not provide legal advice and no solicitor-client relationship is created
• AI outputs should not be treated as official guidance from any regulatory body (including Ofsted, the DfE, or the ICO)

You acknowledge that AI systems have inherent limitations and that you will exercise professional judgement when using the platform.

6. Acceptable Use

You agree not to:

• Use the platform for any unlawful purpose
• Upload content that you do not have lawful authority to process
• Upload content solely to extract or train AI models
• Attempt to reverse-engineer, scrape, or extract the underlying AI models or system prompts
• Use the platform for surveillance, profiling, or monitoring of individuals
• Share your account credentials with others
• Circumvent rate limits, security measures, or access controls
• Upload malicious code, viruses, or harmful content

7. Your Content & Data

• You retain ownership of all content you upload or create on SchoolGov AI
• By uploading content, you grant us a limited licence to process it solely for the purpose of providing the service
• We do not sell, publish, or intentionally use your content to train public AI models
• You are responsible for ensuring you have lawful authority to upload any documents containing personal data
• Where documents contain personal data about pupils, staff, or third parties, the school or governing body remains the Data Controller under UK GDPR

8. Intellectual Property

• The SchoolGov AI platform, brand, design, code, and documentation are owned by Maple & Moor Media Group Ltd
• You may not copy, modify, distribute, or create derivative works from the platform
• AI-generated outputs created through your use of the platform may be used freely by you for governance purposes

9. Payments & Subscriptions

9.1 Plans

SchoolGov AI offers Free, Professional (monthly/yearly), and School plans. Features and limits vary by plan.

9.2 Billing

• Payments are processed securely via Square
• Subscriptions renew automatically unless cancelled before the renewal date
• Prices are in GBP and inclusive of VAT where applicable

9.3 Refunds

• We do not generally offer refunds for subscription periods already paid
• If you cancel, your access continues until the end of the current billing period
• In exceptional circumstances, refund requests can be made to support@schoolgov.co.uk

9.4 Free Trial

New governor accounts receive a 3-day Pro trial. No payment is required. After the trial, the account reverts to the Free plan unless upgraded.

10. Privacy & Data Protection

Your use of SchoolGov AI is also governed by our Privacy Policy, which explains:

• What personal data we collect and why
• How we process data under UK GDPR
• Your rights as a data subject
• How we handle uploaded documents and AI processing
• Our cookie practices

By using the platform, you confirm you have read and understood our Privacy Policy.

11. Limitation of Liability

To the maximum extent permitted by law:

• SchoolGov AI is provided “as is” without warranties of any kind, whether express or implied
• We do not warrant that the platform will be uninterrupted, error-free, or free from security vulnerabilities
• We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the platform
• Our total liability for any claim shall not exceed the amount you paid to us in the 12 months preceding the claim
• We are not responsible for decisions made based on AI-generated content

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under English law.

12. Indemnity

You agree to indemnify and hold harmless Maple & Moor Media Group Ltd from any claims, damages, losses, or expenses arising from:

• Your breach of these Terms
• Your use of the platform
• Content you upload that violates any third party’s rights or applicable law
• Your failure to obtain proper authority before uploading personal data

13. Termination

• You may close your account at any time by contacting support@schoolgov.co.uk
• We may suspend or terminate your account if you breach these Terms
• On termination, we will delete your data in accordance with our Privacy Policy and data retention schedule
• Any provisions that should reasonably survive termination (including liability limitations and indemnity) will continue to apply

14. Changes to These Terms

We may update these Terms from time to time. The latest version will always be available at:

If we make material changes, we will notify you via the platform or by email. Continued use after changes are published constitutes acceptance of the updated Terms.

15. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms or your use of SchoolGov AI shall be subject to the exclusive jurisdiction of the courts of England and Wales.
